What a hotel booking system has to get right

Direct bookings are worth more than the commission you save. But only if the booking flow is better than the platform your guest would have used instead.

Every hotel and villa owner in Crete knows what the platforms cost them. Far fewer have a direct booking flow that a guest would actually choose over the app they already have on their phone. Building one is not hard, but it has to clear a real bar — the alternative is very good, and your guest is comparing.

Availability has to be true

This is the whole game. A guest who fills in a booking form and then receives an email saying those dates are gone will never try your site again. If your rooms are also sold on platforms, the calendar has to be synchronised — a channel manager, or at minimum a two-way iCal feed — and the sync has to be fast enough that a double booking is not routine. Everything else on this list is decoration if this is wrong.

The flow has to be short

Dates, guests, room, pay. Four steps. Every field you add is a place someone leaves. Do not ask for a postal address to hold a room. Do not require an account — a guest booking one week a year does not want a password for your website.

Prices have to be honest early

Seasonal rates, minimum stays, cleaning fees and tourist tax should be visible when the guest picks dates, not revealed at payment. The platforms show a total. If yours shows a nightly rate and then adds forty euro at the end, you have lost the comparison, and you have also spent the goodwill you were trying to build.

  • Show the total for the stay, including fees, next to the nightly rate.
  • State the minimum stay before the guest has chosen dates that violate it.
  • Make the cancellation policy one sentence, above the pay button.
  • Take real payments — a card-details form that emails you is not a booking system, and it is not something you should be storing.

Mobile is the site

For accommodation, the majority of the traffic is a phone, often held one-handed, often on a slow connection in a place with poor signal. A date picker that requires precise tapping, or a gallery that loads eight megabytes of photographs before showing a price, is not a design flaw — it is lost revenue with a specific number attached to it.

The goal is not to have a booking system. It is to be the easiest way for someone who has already decided to stay with you to actually do it.

And then give them a reason

Once the flow is genuinely as good as the platform's, you can compete on the thing the platform cannot offer: a better price, a free transfer, a late checkout, a room the platforms do not list. Say it plainly on the page. That is the whole argument for booking direct, and it only works if the booking itself is effortless.
